Job Description
**Introduction**
· Greet and welcome clients, visitors, and employees, and provide directions, information, and assistance as needed
· Answer, screen and forward incoming phone calls
· Handle incoming and outgoing mail, emails, and messages, and ensure timely delivery of important documents.
· Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and maps)
· Provide basic and accurate information in-person and via phone/email, and stay up to date with company policies, procedures, and initiatives
· Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, corporate visitor's tool)
· Collaborate with Executive Briefing Center to provide seamless client, executive, and administrative support, and assist with scheduling, prepare materials and presentations, and perform administrative tasks
· Work with site operations teams on campus programs and projects, and support site events, workshops, and conferences
· Build strong relationships with clients, colleagues, and other stakeholders to ensure excellent customer service and support
· Be flexible and willing to take on additional responsibilities as needed to support the team and organization
**Your role and responsibilities**
We are seeking a friendly, organized, and efficient receptionist to join our team. As the first point of contact for our clients, visitors, and employees, you will be responsible for providing exceptional customer service, managing administrative tasks, and maintaining a professional and welcoming atmosphere in our office.
**Required technical and professional expertise**
· Good working proficiency in computer skills including Microsoft Office Suite and Slack
· Excellent communication, interpersonal, and customer service skills
· Ability to work in a fast-paced environment, prioritize tasks, and manage multiple responsibilities
· Strong organizational, time management, and attention to details skills
· Friendly, approachable, and professional demeanor
· Ability to maintain confidentiality and discretion
· Must be able to lift up to 25 pounds (11 kg) and stand for extended periods
