About the Role

We're looking for a highly organized, reliable, and proactive Operations Assistant / Receptionist to join our team in Hackettstown, NJ. In this role, you'll help keep our office running smoothly by managing daily communications, supporting operational tasks, and serving as the first point of contact for visitors and incoming calls. You'll play a key role in keeping the team organized, projects moving forward, and the workplace welcoming.

What You'll Do

Front Desk & Communication

  • Greet visitors, answer phones, and direct inquiries to the right team members
  • Monitor email and other communications, triaging requests and following up so nothing slips through the cracks
  • Draft and send messages on behalf of leadership when needed

Administrative & Operations Support

  • Maintain factory and management calendars, schedule and coordinate meetings
  • Assist with office organization, filing, and supplies management
  • Support with data entry, light reporting, and keeping shared systems up to date
  • Help track to-do lists, deadlines, and priorities for the operations team

Coordination & Follow-Up

  • Follow up with internal team members and vendors to ensure tasks and projects stay on track
  • Take notes in meetings (when requested) and distribute action items
  • Assist with ad hoc tasks such as booking travel, making reservations, or light research

Qualifications

  • Live within commuting distance of Hackettstown, NJ and authorized to work in the US
  • 3+ years in project management, administration, executive assistance, operations, or similar, in a fast-paced professional setting
  • Good memory, both mental and written. Keeps track of deadlines, projects, people, followups, etc. Strong note taking skills
  • Keen observational abilities. Can assess a situation and predict problems, consider obstacles, and ask questions that others don't think to ask
  • Good at writing succinct emails with good business etiquette
  • Familiarity with the tools and processes of corporate life. Emails, video calls, calendars, excel/google sheets, project docs, planning, etc.
  • Tech skills: gmail, google sheets, instagram, google drive, calendars
    • Optional: frame.io ( air.inc, upfluence, notion, and asana
  • Personal passion for and knowledge about health, wellness, fitness, luxury, or fashion is a bonus
  • Bachelor's degree preferred.
